Capsian

The decision layer for hotel group sales.

First paying pilot in 6 months. Three pilots live by 15.

Hotels lose 30 to 70 percent of their best group enquiries. The internal process is too slow.

One RFP across multiple hotels triggers email chains, manual spreadsheets, and 3 to 4 day approval cycles. By then, the planner has moved on.

HSMAI Europe . Commercial Strategy Week . January 2026

A multi-tenant commercial decision engine for hotel group sales.

Capsian sits above every system a hotel already runs. No replacement required. It connects Opera, Mews, Apaleo, Cloudbeds, Salesforce, and Delphi into one workflow. What has never existed: this across independent hotels on different stacks, with no shared CRS between them.

Capsian
Policy engine. Cross-property conflict resolution. Full RFP orchestration. One product. No competitor has all three in a single system.

Capsian Guardrails. One enquiry, multiple hotels, resolved in minutes.

RFP arrives
Single enquiry
Event planner submits one brief across multiple independent hotel properties.
Guardrails
Policy engine
Evaluates each hotel's commercial rules. Resolves conflicts automatically. Routes what needs a decision to the right person.
Resolved
Proposal out
Branded proposal issued. E-signature link included. Deposit triggered per each hotel's terms. Done.
Capsian Guardrails
Hotels set their rules once. Guardrails enforces them on every enquiry.
Pricing thresholds, approval hierarchies, response targets, rate floors, space displacement logic, deposit schedules, attrition limits. Hotels configure these once. Guardrails applies them to every enquiry. No manual step unless a deal falls outside the parameters.

Three sides. Two paying. One that brings the demand.

Capsian is not a hotel tool that happens to touch agents and planners. It is a three-sided marketplace where each side makes the others more valuable. Hotels and travel agents pay subscription. Planners use it free; commission flows hotel-side on planner-routed bookings. That asymmetry is the point.

Hotel
Pays for the engine that closes enquiries.
  • £30k deployment fee, £60k per year ops contract
  • 10% commission on planner-attributed bookings; 0% on travel-agent-attributed bookings (agents pay subscription only, no double-dipping)
  • Capsian gives them a way to respond to a single RFP that touches multiple of their properties without losing it to a slower competitor's process. Cross-property reconciliation, policy enforcement, faster turnaround.
Travel agent
Pays for structured access to a coherent hotel inventory.
  • £5k deployment fee, £12k per year ops contract
  • One integration into a coherent multi-hotel inventory, instead of separate connections per property. Structured RFP routing across independent hotels on different stacks.
  • No custom integration required per property
Meeting and event planner
Free
Brings the demand. No friction to onboard.
  • One workflow to brief multiple hotels at once, instead of email chains and chaser calls.
  • Free because planners are the demand signal, not the revenue source
  • No budget approval required to start using it

Planners use free, which means we do not have to sell them on a budget. Their demand routes through Capsian into hotels and agents. The more hotels and agents on the platform, the more useful it is to planners. The more planners use it, the more demand flows through, which is what hotels and agents pay for. Three-sided network: hotels and agents on the paying side, planners on the demand side. The 10% commission on planner-attributed bookings (charged hotel-side) scales with planner volume, without a proportional increase in sales effort. Travel-agent-attributed bookings carry no commission; agents pay subscription only.

By Year 5, the model carries 30 hotels, 30 travel agents, and an open planner side. Hotel revenue scales with the catalogue. Agent revenue scales with hotel reach. Planner-side commission scales with planner-driven demand.

Inbound interest, two pilot commitments, and a live platform. Pre-revenue, not pre-traction.

£2.5M Copenhagen platform. 11 hotels.
ProLuxe Travel's IBA 2026 platform runs live across 11 hotels in Copenhagen. Different product. Same founder. This founder ships working hospitality platforms at scale.
Pilot intent
2 London premium hotels. Verbal commitment to pilot. Working toward signed letters of intent before round close.
Two London premium hotel groups have indicated intent to pilot, conditional on product readiness. Both came from direct sector relationships built over 20 years. Written LOIs are being pursued alongside the raise.
Inbound interest
Unsolicited inbound from the planner side.
An association client running a £2.8M event has reached out unprompted, asking how Capsian could fit their workflow. Early-stage conversation, no commitment yet; included as evidence the planner segment is asking before we've gone to market.
Concept ready
Engine designed. Prior art mapped. Ready to build.
We've mapped where Capsian Guardrails sits in published research: distributed constraint satisfaction, policy engines, yield management. The hospitality-specific gap is the work. Falsifiable performance targets in place. Build starts at raise close.
Category gap
No shipping product combines policy engine plus cross-property reconciliation plus RFP orchestration across independent hotels.
Every competitor owns one part of the chain. Cvent sits planner-side. Sertifi signs contracts. Delphi captures leads. iVvy manages single properties. None of them cross the tenant boundary across independent hotels on heterogeneous stacks. Hivr operates inside chain-controlled estates (Radisson, NH, Scandic, Dorint) on shared distribution rails. MeetingPackage powers Groups CRS for Accor and launched their AI M&E engine at ITB Berlin in March 2026. Capsian works above existing CRS, including properties already running MeetingPackage. MeetingPackage requires the hotel to be on their rails. Capsian does not.

iVvy (single property)
